File Cabinet Browser
Documents that are not subject to modification are stored
in the file cabinet according to a filing system
customized for each matter. The documents are presented in
read-only format. Categories and subcategories are
organized in a directory tree.
Digital copies of documents are stored in these categories
either as PDF or TIFF files. The documents can also be
OCRed by outside or in-house vendors, or by XLS. The
advantage of the OCR process is that it allows access to
documents via keyword search. XLS services can arrange,
oversee or itself provide scanning, OCRing, conversion and
hard and digital copies.
File Viewer
Once documents are uploaded, they are accessed using the user’s
Acrobat 5.0 or AlternaTIFF software as a viewer. Within the viewer,
the user scrolls through the pages of the document or
navigates from one document to the next or previous
document. Before entering the viewer, the browser will
show location, allow access to search tools, binders,
and indicate the last document visited by the user. That
last document can be accessed immediately through a
hyper-link, allowing the user to continue a previously
commenced review.
Searching Files
The user may search by keyword, bates number and/or
metadata, on all or any part of the file cabinet. To
search, a folder or folders is selected, and the keyword
and/or metatag are selected. The search engine is
extremely fast. It is an XLS proprietary engine that is
highly reliable. Results are returned within seconds or
less. The results are hyper-linked to the files, so that
documents can be quickly accessed from the returned
results list. The results can be narrowed using the
“search within a search” tool. The search can be
expanded or narrowed using “and” as well as
“or” connectors. The search request itself and
the results can be stored and saved for later review.
Advanced searches, wild-card, multi-word, and proximity
searches are also available. Advanced reporting features
can also be installed.
Binders
Search results or even individual documents can be placed
in a Binder. Each user is given a “Primary”
and a “Private” binder. The private
binder is available only to the user. The primary
binder and any other binders created by the user can
be viewed by everyone with permissions in the network.
Other users cannot alter another user’s binder;
“viewing only” is permitted, unless some or
all of the binder is copied into the other user’s
binder.
Additional binders for special purposes can be created
and labeled by the user. For example, a user may wish to
collect documents to be used at a presentation by a senior
officer. That officer would be able to access documents
especially collected for him by another user. One user can
copy another’s binder to create a consolidated
binder or to review the documents. Documents in a
binder can be batched or individually printed.
